Conference Regulations
§ 1. General Provisions
1. The provisions of these Regulations apply to Participants of the 2nd International Scientific Conference ”Challenges of Contemporary Publishing”, Lublin, 14–15 May 2026, organized by the Lublin University of Technology.
2. The Organizer reserves the right to make changes to the Conference program and undertakes to publish up-to-date information on the website.
3. The following terms used in these Regulations shall have the following meanings:
3.1. Participant: a natural person registered for the Conference via the registration form available online on the Conference website, who has accepted the rules of participation in the event. A Participant is a person who has paid the Conference fee or who has been invited as a Moderator, Guest, or Expert.
3.2. Confirmation of participation: a confirmation sent by the Conference Organizer in response to an application submitted via the registration form.
3.3. Conference: The 2nd International Scientific Conference ”Challenges of Contemporary Publishing”, organized by the Lublin University of Technology, to be held in Lublin on 14–15 May 2026

§ 2. Participation Rules
1. Participation in the Conference is conditional upon completing the registration form, available on the Conference website (under the Registration tab). Participants who have previously attended events organized by Lublin University of Technology will need to either log in and delete their existing account in the registration system or register with a different email address.
2. A person wishing to participate in the Conference will be required to provide the data necessary for the organization of the event in the registration form, confirm that they have read the Conference Regulations, and agree to pay the Conference fee.
3. Participants with special needs are required to indicate in the registration form the type of assistance they expect from the Conference Organizer. In the case of a newly arisen need that was not previously specified in the registration form, the Participant should notify the Organizer as soon as possible by email:konferencja-wwp2@pollub.pl. The notification will be considered valid once the Participant receives a confirmation email from the Organizer.
4. The Participant is required to complete the registration form accurately and truthfully. The Organizer may also request the Participant to provide additional information if needed.
5. The Participant has the right to update the information provided in the registration form either by logging in to the Conference website or by sending a request via email to: konferencja-wwp2@pollub.pl
6. The Organizer is not responsible for any damages resulting from the Participant providing incorrect information in the registration form.
7. By completing the registration form, the Participant agrees to receive information related to the Conference via electronic communication.
8. After registering online, the Participant will receive a confirmation of registration along with the details necessary to make payment for participation in the Conference.
9. Each registered Participant shall receive Conference materials and an identification badge during the Conference.
10. Registration closes on 14 April 2026 or once the limit of 100 Participants has been reached. Applications will be processed in the order in which they are received.
§ 3. Withdrawal from Participation
1. The Participant has the right to withdraw from participation in the Conference by notifying the Organizer via email to: htps://konferencja-wwp2.pollub.pl. The Participant is entitled to a refund of the Conference Fee if the withdrawal is made by 30 April 2026; after this date, no refund shall be granted.
2. Removal from the list of Participants occurs in the following situations
2.1. after the Organizer receives the Participant’s withdrawal notice;
2.2. if the requirements specified in § 2 are not fulfilled.
§ 4. Protection of Participants’ Personal Data and Image

2. Contact to the Data Protection Officer – e-mail: t.jonski@pollub.pl.
3. Participants’ personal data will be processed for documentation and promotional purposes, including the publication of photographs and video materials taken during the Conference.
4. Personal data provided in the registration form will be processed on the basis of:
4.1. Article 6(1)(e) of the GDPR in connection with Articles 2 and 11 of the Act of 20 July 2018 – Law on Higher Education and Science (as it is necessary to perform of a task carried out in the public interest or in the exercise of public authority entrusted to the controller, related to the mission of the higher education and science system in the field of education, scientific activitiy, shaping civic attitudes, as well as participation in social development and the creation of an innovation-based economy);
8.2. Article 6(1)(a) of the GDPR on the basis of the consent given by you for the processing of your personal data.
5. Personal data may be disclosed to other entities authorized under applicable law and relevant agreements concluded with Lublin University of Technology , including those involved in the organization or administration of the Conference.
6. The Participant has the right to:
6.1. access their personal data and receive a copy thereof;
6.2. rectify their personal data if it is inaccurate or outdated, and also the right to have it erased where the processing is not carried out for the purpose of fulfilling a legal obligation or exercising public authority;
6.3. restrict the processing of their personal data;
6.4. object at any time, for reasons related to their particular situation, where the processing is based on Article 6(1)(e) of the GDPR;
6.5. withdraw consent at any time without affecting the lawfulness of processing carried out on the basis of that consent prior to its withdrawal, where the processing is based on the Participant’s consent;
6.6. lodge a complaint with the President of the Personal Data Protection Office (UODO) at the address: ul. Stawki 2, 00-193 Warsaw.
7. Participants’ data, including their image, first and last name, and IP address, will be processed in connection with the Conference and may be published on the websites and social media profiles of Lublin University of Technology.
8. Participants grant their unrestricted consent, in terms of territory, time, quantity, and manner, for the use of their image for documentation, promotional, and informational purposes, without any right to remuneration. This includes, in particular, the recording of the Participant’s image in photo reports and the use of such recordings, including processing, reproduction, and multiple dissemination of the Participant’s image and any materials presented by them as described above, without the need for separate approval each time. Such use may take place, in particular, on the Conference website, the Organizer’s platforms, social media, traditional media, and other websites, for promotional purposes and to advertise the Conference.
9. At the same time, the Participant declares that the photographs and video materials do not violate their personal rights.
§ 5. Final Provisions
1. In the event of circumstances beyond the Organizer’s control, the Organizer reserves the right to cancel or reschedule the Conference.
2. In matters not regulated by these Regulations, the provisions of the Civil Code shall apply accordingly.
3. The Organizer shall not be liable for Participants’ belongings that may be lost, damaged, or stolen during the Conference.
4. Participants undertake to comply with the Regualtions and bear full responsibility for any damage resulting from their conduct or actions that are contrary to the law, public order, good manners, or that infringe upon the legitimate interests of third parties.
5. These Regulations enter into force on 17 November 2025, the date when registration for the Conference opens.
6. The Organizer reserves the right to amend these Regulations. Amendments enter into force three days after their publication on the Conference website.
